ADMINISTRATIVE ASSISTANT JOB DESCRIPTION

We are looking for a hard-working and dedicated assistant to be responsible for administrative and clerical duties to ensure efficiency and smooth running in our Unit office. The assistant provides reliable support to the Communication Officer, handles basic office tasks and monitors office operations to increase efficiency, quality.

A successful assistant is dedicated, hard-working, and has strong attention to detail. You should have excellent communication, interpersonal, and organizational skills.

 

ADMINISTRATIVE ASSISTANT RESPONSIBILITIES : 

  • Manage email correspondences and follow up as necessary;
  • Dispatch correspondences related to the official work of the Unit via mail, courier, hand and/or email when requested and follow up as necessary;
  • Providing administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on the executive’s behalf,
  • Help in maintaining comprehensive and accurate records,
  • Assist in organising meetings, including scheduling, sending reminders,
  • Copy and forward all correspondence to the general archives of the Secretariat,
  • Managing the executive’s calendar, including making appointments and prioritising the most sensitive matters,
  • Arrange official appointments and manage the official agenda of the Communication Officer in a timely, diplomatic and conscientious manner, providing  confirmations, regrets, and reminders to all concerned,
  • Participate in the management of a  database
  • Take notes at meetings in which the Communication Officer attends and archiving the information

 

ADMINISTRATIVE ASSISTANT REQUIREMENTS :

  • Be currently enrolled in a relevant degree programme (i.e Management, Office Administration, Business Administration, Secretaryship or other relevant areas, etc) at a higher education institute in the Caribbean;
  • A high school diploma;
  • A working knowledge of and experience with administrative and clerical procedures and systems;
  • A good proficiency with computers;
  • Familiarity with office equipment;
  • Excellent communication and interpersonal skills;
  • Excellent planning, organisational, and time management skills;
  • Good analytical, problem solving, and critical thinking skills;
  • Interest and motivation in working in an international/regional organisation;
  • Outgoing and initiative-taking person with a goal oriented mind-set;
  • Ambitious, Instinctual and self motivated. A problem solver;
  • Communicates effectively when working in teams and independently;
  • Good in organising and structuring various tasks and responsibilities;
  • Responds positively to feedback and differing points of view;
  • Consistently approaches work with energy and a positive, constructive attitude;
  • Results driven, able to meet targets/deadlines.
